Prospect Monitor

Purpose The Monitor is designed to be a tool for Sales Personnel and/or Sales Management to help analyze the data base of leads generated in a dealership. The user is presented with a means to selectively display a grid of leads that meet specific criteria.

From the menu select, Sales Management, Inquiries Prospects Monitor.

  • Location – Using the down arrow, select the Location of the Prospects you would like to view.
  • Prospect Type – Select the prospect type from the drop down box. A prospect is defined as a Service/Storage type if information has been entered in the Next Action or Follow Up grids within the associated Service/Storage tab.
  • Status – Choose the Status from the drop down box. Status definitions are as follows:
  • No Current Activity – The lead has not had follow up information entered within the specified period of time set in the Prospect Parameters.
  • New Prospect – Those leads that have been entered in the system in the past 30 days. ie: initial date < 30
  • Quoted – A contract has been entered for the prospect but a deposit has not yet been entered.
  • Pending Deal – A contract has been entered and a deposit has been taken.
  • Recent Buyers – The Boat Sales contract has been closed within the past 30 days.
  • Follow Up Today – Leads that have a Next Action scheduled for the current date.
  • Previous Buyer – Buyer’s that have closed contracts greater than 30 days.
  • Active Prospect – Those prospects that do not meet any of the above status criteria.
  • Sales Person – Enter a specific sales person to monitor leads belonging to him or her
  • Lead Source – Enter a lead source code to view prospects generated from a particular source.
  • Category – Enter a category to view prospects assigned to this specific category.
  • Forecast Code – Enter a Forecast Code to view prospects that have this code assigned.
  • Preferred Manufacturer – Enter a manufacturer to view prospects that have this vendor entered as a preference. If the Vendor Number is not known, enter the Vendor Name preceded by a backslash "" to access a cross-reference list.
  • Current Manufacturer – Enter a manufacturer to view prospects that have this vendor entered as a trade. If the Vendor Number is not known, enter the Vendor Name preceded by a backslash "" to access a cross-reference list.
  • Preferred Model – Enter a model to view prospects with this model entered as a preference.
  • Current Model – Enter a model to view prospects with this model entered as a trade.

Searching for current or preferred manufacturer’s and/or models allows the sales people to better match up inventory to potential buyers or present sales incentives, etc.

  • New/Used – Click on the dropdown box to view leads specifically looking for either a New or a Used Boat.
  • Start/End Date – Enter in a date range to selectively choose leads that meet the date criteria for this time range. Date criteria are selected from the dropdown list in the adjacent field.
  • Date Type – Choose the date type corresponding to the date range entered.
    • Initial Date
    • Last Action Date
    • Next Action Date
    • Contract Closed Date
  • Last Action – Enter a last action code to select leads with this action recently completed.
  • Next Action – Enter an action code to view leads with this code assigned as an upcoming next action to complete
  • Save As List – If a name is specified, the list of leads that populate the grid will be saved in the DM.LISTS file with this name, and will be available for use with other processes outside of the monitor.

Once the UPDATE button has been pressed, the selected leads will be displayed in a grid that is customizable by your System Administrator.

The grid will display leads in different colors depending on the status of each lead. Please see above for Status definitions.

Sorting the Displayed Data

The grid can be sorted by any column displayed by clicking on that desired column heading.

Grouping the Displayed Data

Displayed leads can also be grouped together in a specified order. To do this, ‘drag’ the column header into the dark gray area just above the grid. The data in the grid will now be broken into groups by what was selected.

Printing a Monitor Report

Click on the PRINT button to print a report of the Prospect information displayed in the Monitor grid.
