Serialized Inventory Status Overview

DockMaster tracks serialized inventory within the Sales Management module, for adding a Boat, Motor, Trailer or Other serialized unit or units to a contract. Most serialized units will change statuses automatically as a part of the normal business flow of a contract, eliminating the need to manually update the units' status. Users can modify the status of an item if need be, outside of the standard flow.

Available Statuses:

  • HA (On Hand Available): A serialized item that is in stock and ready to be quoted or sold
  • HS (On Hand Sold): A serial item that is in stock and has been added to a contract.
  • OA (On Order Available): A serial item that is not in stock but is on a Purchase order and is available to sell.
  • OS (On Order Sold): A serial item that is not in stock, but it is on a Purchase Order, and on a Contract waiting to be received and sold.
  • FA (Future Available): A Trade item on a contract that has been moved into serial inventory and is available for a future sale.
  • FS (Future Sold): A serial item that has been traded in (Used) that was formerly a FA status. This item is a trade in that is on a “still” open contract.
  • S (Sold): When a contract is closed, but you don’t have the box “Mark serial item as delivered” checked, it will mark the item Sold. This is used primarily for Contracts that close, but the customer will not pick up the boat until later in the season. Once the boat has actually been delivered, the only way to transition to SD is to do it manually.
  • SD (Sold and Delivered): When a contract gets closed and the box “Mark serial item as delivered” is checked.
  • R (Reserved): A serial item can be marked manually as “Reserved” for a known pending sale, it is not part of standard flow of statuses.
  • PD (Pending Deal): A Model is on a contract; a serial item is created (with no serial #) but has yet to be ordered. Once the boat is ordered, the status changes to OS.
    • The PO must be created from the contract for the proper status flow.

A typical serial unit flow example would be: OA -> HA -> HS -> SD

  • A unit is ordered via a purchase order for stock (we create a serial unit, but it doesn’t have a serial number yet): OA (On Order Available)
  • The unit is then received and now has a serial #: HA (On Hand Available)
  • The unit is then added to a Contract: HS (On Hand Sold)
  • The contract closes, and we mark it delivered: SD (Sold Delivered)

Other workflow examples include:

Stock boat – PO triggers OA > Receiving triggers HA > Contract triggers HS > Closing contract triggers SD

Boat ordered for stock and then added to contract before receiving – PO triggers OA, added to contract triggers OS > Receiving triggers HS > Closing contract triggers SD

Contract created prior to PO – Create PO from contract triggers OS > Receiving triggers HS > Closing contract triggers SD

When you have trades ins on the contract then there is a status for that as well – FA. We can push a trade in to serialized inventory prior to the contract closing on the new boat.

If we write a contract on a trade in before the new boat contract is closed then the trade in has a status of FS
