Accounts Receivable Invoice Adjustments
USING THE INVOICE ADJUSTMENT FEATURE:
Accounts Receivable > Credit Memos & Adjustments > Invoice Adjustment Code. You will
need a code for adjusting down an AR Invoice and a separate code for adjusting up an AR Invoice.
It is important to be choosing the adjustment code that shows the AR account in the proper setting (debit or credit).
Adjustments can only be made to one GL account. If you need to adjust the invoice off breaking it down
between more than one account or if you need to reverse sales tax charged this process will not work.
In that scenario you would need to do a Misc. AR Charge.
- To adjust an invoice go to Accounts Receivable > Credit Memos & Adjustments. Enter the Invoice number you wish to adjust. This will pull in the current invoice balance. Select the Adjustment code that properly reflects the accounting to be done. Enter the Adj Amount.
Make sure you are entering the adjustment amount with the proper signage. Adding the amount in the Invoice Balance
box and the Adjustment Amount box together will give the ending result of your adjustment. Also, make sure that the
Accounting pulls in correctly and that the AR Account is in the proper Debit or Credit field based on the adjustment you are doing.
- If you have an invoice that has a credit balance that needs to be written off, the adjustment code MUST have the AR Account number in the Debit field.
USING THE MISCELLANEOUS CHARGES FEATURE:
When you need to adjust off an invoice and you want the adjustment to be reflected in your Sales tax report or if the adjustment
needs to go to more than one GL Account you will need to use this process.
Accounts Receivable > Charges > Miscellaneous Charges. In this process you will be creating a new AR Invoice or Credit Memo,
posting and then applying the new invoice/credit memo to the invoice you want to adjust off.
Enter “N” for the next available invoice number.
The Charge type drop down is for reporting purposes only. You can select the Area that the entry you are doing pertains to.
Enter the customer Id, Charge date and Due date.
Next you need to decide if the adjustment you are making should affect your Sales Tax report. If you want it to affect the report
then you need to enter the adjustment in the Sales Amount box and make sure the correct Tax Schema is indicated as that is the
section that of the Sales Tax report that the information will show. If this should not be included in your sales tax report then enter
the amount into the Non-sales Amount box. Make sure to enter the amount with the proper signage.
A Description should be entered that will allow you to follow why you are doing this entry.
This description will print on the AR Statements sent to customers.
ALWAYS review the GL grid and make any necessary changes to the accounting that is displayed.
The first line should ALWAYS be the AR account that the adjustment is being done to.
Post the Misc AR Charge making note of the invoice number it created as the next step is applying the adjustment to the invoice.
Go to Accounts Receivable > Credit Memos & Adjustments > Apply Credit Memos
Enter the Invoice # for the credit memo you just created (901184 in this example) and the Customer and Credit Memo Balance will fill in.
Decide on the date you want to apply the credit memo to the invoice – this date cannot be earlier than the either date on the credit memo or invoice(s).
Then select the invoice to apply the credit memo to by using F6 to list available invoice to select from or sF7 to auto-apply the credit memo to the oldest invoice open on the customer’s file.
This process does NO accounting in DockMaster. It only applies Credits memos to the invoices.
