Processing Group Reservations

Purpose A group reservation is defined as a single reservation that includes more than one boat in the Number of Boats prompt. Important: Each individual boat must be checked in as a reservation to be billed. The system will not bill a group reservation. You can only assign one slip per reservation.

· To reserve slips for this group, a reservation must be made using "parent party" for this group reservation. EXAMPLE TRAVEL AGENT

· To create the group reservation, enter a NEW reservation

Enter the PARENT NAME as the Customer. If the PARENT NAME is not in the Data Base, Enter the name in the Last Name field. You can create a customer from the information that is entered.

· Under Boat Information, enter the Number of Boats for the reservation.

· Under Expected Dates, enter the Arrival and Departure date of the reservation.

· Under Assigned Location, the slips can be reserved for the 3 boats on the reservation. When each customer from the group reservation Check IN, you can select Parent Slips sF6 to select from the slips that were pre-assigned in the group reservation.

· Under the Billing Codes tab, enter in the rate agreed upon for the group.

· Press the Save button to save the reservation. The reservation number is what will be provide to each of the members of the group for check in.

 

To check in a member of a group reservation, enter the Group Reservation ID. (That would be the one given to the member from the Travel Agent.)

· Click the Group Check In tab to check in a member of the group. You will be prompted to click on the Group Check in button from the Command Panel. A new reservation is generated. The Travel Agent is now the Parent Party on the reservation. Enter the information for the boat and customer that is checking in from the group.

· Proceed with your normal reservation processing procedure at this point. See sample screen shot below:

· When assigning slip locations, there will be a choice of Parent Slips sF6 in the Command Panel to the left. These are the slips that were reserved for this group when the reservation was made.

  • Note: Slip assignments, bill codes and boat information can be changed.

· When all the boats from the group reservation have been checked in, billed and checked out, the Group Reservation will no longer appear when looking up a Reservation using the F6 Key.
