REVERSING A STORAGE INVOICE

This document will walk your through the steps of reversing a storage invoice posted in error.

  1. Find the Invoice number of the storage invoice you need to reverse.
    1. Go to Accounts Receivable – Invoice/Statement – Customer Ledger – enter the customer number and view the ledger card.
    2. The Ref Number is the Storage Invoice ID # that you will need in the next step

  1. Go to Marina Management – Inquiries – Storage Invoice Inquiry and enter the storage Invoice ID #.  This will display the invoice as it was originally created/entered.  Make sure you do this in Inquiry so you can keep the invoice open in this tab to refer back to.

  1. In Marina Management – Billing Functions – Storage Invoice Maintenance is where you will now create the reversal of this invoice. 3. Enter “N” for the next invoice number 4. Enter the Customer ID and Boat ID as in the original invoice – the slip ID will fill in based on the Boat File as will the Billing codes. 5. Make sure that the Billing Date and Due Date match the original invoice 6. If the Billing codes do not match the original invoice then DELETE each bill code off the invoice and re-enter the bill codes as on the original invoice.   The Dollar Amounts need to be changed to a negative amount. 7. Verify that the Payment Schedule box matches the original invoice. 8. Verify that the G/L Distribution is the same but opposite as the original invoice. 9. Once everything matches – post the invoice

  1. Please note that on this invoice there is a bill code that contains a deferred schedule.  If any of the deferrals from the original invoice have already been posted you will also need to post the deferrals on this new invoice. 10. To post the deferrals for the new invoice go to Marina Management – Billing Functions – Post Deferred Revenue – fill in the screen as follows and post. 11. Repeat the process for each month that needs to be posted so that it matches what has been posted on the original invoice.

  1. Go to Accounts Receivable – Credit Memos and Adjustments – Apply Credit Memos – Enter the new credit memo ID you just created and posted and apply it to the invoice you need to have adjusted off.
