From the DockMaster menu, select Sales Management > Prospects Functions > Prospects > Current Boats

Trade information is defined by entering data in different areas of the form based on the Trade Unit Serial Type being entered: Boat, Motor, Trailer, and Other.
-- Trade Boat Information--
- Mfg Id (Manufacturer Id (required)) - Enter the Vendor Number of the trade-in manufacturer or enter 99999 to bypass this field. Entering 99999 allows you to enter a trade-in manufacturer name without having the manufacturer in the Vendor File. If the Vendor Number is not known, enter the Vendor Name preceded by a backslash "" to access a cross-reference list.
- Mfg Name - Enter the Manufacturer name if using 99999 for a miscellaneous Vendor. If the Mfg Id was selected in the previous field, this field will fill from the Vendor file.
- Model Number - Enter the Model Number for the trade-in boat.
- Model Description - Enter the Model Description for the trade-in boat.
- Year - Enter the year the boat was manufactured.
- Serial Number - Enter the serial number for the trade-in boat.
Other Information
The fields at the top of this section will load based on the information entered above.
- Color – Enter the pre-defined color code for this trade-in unit.
- Length - Enter the length of the boat. Including attachments to the bow and stern. The length should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period or apostrophe can be used to separate feet from inches.
- Registration- Enter the boat’s registration number. Any combination up to 20 letters and numbers can be used.
- Beam - Enter the beam of the boat. The beam should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period or apostrophe can be used to separate feet from inches.
- Ignition Key – Enter the Key Number for this trade-in unit.
- Weight – Enter the Weight of the trade-in unit.
- Department – Enter the department (pre-defined) to assign to the trade-in unit.
- Boat Name – Enter the Boat Name for the trade-in Unit.
- Class - Enter the Class Code (pre-defined) to assign to the trade-in unit.
- Stock # - Enter the Boat Stock Number.
- Hull Type – Enter the Hull Type for the trade-in Unit.
- Hull Material – Enter the Hull Material for the trade-in Unit.
- Model Type - Enter the Model Type (pre-defined) to assign to the trade-in unit.
--Trade Motor Information--
Enter fields as you would for a Boat (see above)
Other Information
- Color – Enter the Motor Color if applicable.
- Electric Start – Click on this check box if the Motor has Electric Start.
- Registration- Enter the motor’s registration number. Any combination up to 20 letters and numbers can be used.
- Power Trim – Click on this checkbox if Power Trim applies to this trade-in Unit.
- Out Drive Number - Enter the Out Drive Number for this trade-in Unit.
- Type – Choose from one of the options in the dropdown box: Inboard, Outboard, I/O, Electric, Jet, or Diesel.
- Transom Assembly # - Enter the Transom Assembly # for this trade-in Unit.
- Strokes – Choose Two or Four from the dropdown box.
- Department - Enter the department (pre-defined) to assign to the trade-in unit.
- Carburetion - Choose from one of the options in the dropdown box: EFI, DFI, Carburetor, or Other.
- Class - Enter the Class for this trade-in Unit.
- Hours - Enter the Number of hours on the Trade-in Unit.
- Power Rating - Enter the Power Rating for this trade-in Unit.
- Stock # - Enter the Motor Stock Number.
- Shaft Length – Enter the Shaft Length for this trade-in Unit. The Shaft Length should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period or apostrophe can be used to separate feet from inches.
- Model Type - Enter in the Motor Type of the trade-in unit. Right click and list or F6 to see existing options for Model Types. These are pre-set under Maintenance > Codes > Model Types.
--Trade Trailer Info--
Enter fields as you would for a Boat (see above)
Other Information
- Color - Enter the Color Code for this Trailer.
- Length - Enter the length of the boat. Including attachments to the bow and stern. The length should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period or apostrophe can be used to separate feet from inches.
- Registration- Enter the Trailer’s registration number. Any combination up to 25 letters and numbers can be used.
- Width - Enter the beam of the boat. The beam should be input in one of the following formats: 23', 23’10, 23’10", or 23.10. A period or apostrophe can be used to separate feet from inches.
- Materials – Enter the Materials associated with this Trailer.
- Weight – Enter the Weight of the trade-in unit.
- Tire Size – Enter the Tire Size for this Trailer.
- Capacity - Enter the Capacity for this trade-in Unit.
- Axles/Brakes - Enter the Axle/Brake information for this trade-in Unit.
- Ball – Enter the Ball Diameter of the Trailer.
- Department – Enter the department (pre-defined) to assign to the trade-in unit.
- Power Winch - Click on this check box if the Trailer has a Power Winch.
- Class - Enter the Class Code (pre-defined) to assign to the trade-in unit.
- Model - Select the Motor model of the trade-in unit.
- Stock # - Enter the Trailer Stock Number.
Entering Multiple Trade-in Units
To enter another Unit, click on the drop down box and select the next Serial Type. Once this new type is selected, the form area for that type will clear and allow entering the new unit.
Searching Existing Prospect Preferences for Entered Trade
Once the Trade-In Boat information has been entered, Clicking on the SEARCH button in the Boat area will initiate a search through the entire Prospect file to see if another prospect has this Boat information entered as a Preference. A window will display all prospects that might be interested in this Prospect’s trade based on Preferences entered.
Duplicating Trade-in Motor Information
After a Trade-in Motor has been entered, clicking on the DUPLICATE button will duplicate this previously entered motor. The Serial Number, Out Drive Number, and Transom Assembly Number can then be entered for this new motor.
Adding Trade-In Pictures
To attach pictures to the Trade-in Unit, click on the PICTURES Command button in the separate Boat, Motor, and Trailer areas. Multiple pictures can be entered.
- Location - Enter the path of where the picture is stored. If the path is not known, click on the ellipses (...) in the location field to find the path.
- Description - Enter a description of the Photo for the Trade-In Unit.
Adding Trade-In Appraisal Information
To add Trade-In Appraisal Information for the Trade-in Unit, click on the Appraisal Command button in the separate Boat, Motor, and Trailer areas. The Appraisal Items will default and display based on what has been entered in the Boat Sales Parameters. Additional Appraisal Items can be entered at the bottom of the grid.
- Appraised Item – Items will initially display as defined in the Boat Sales Parameters. To enter a new appraisal item, enter the item at the bottom of the grid.
- Item Description – Enter a description for the Appraised Item.
- Condition – This is free-form text field to describe the condition of the Appraised Item. Ex: Excellent, Good, Average, Bad, etc.
- Received – Click on the Check box if the Appraised Item has been received.
- Option – Click on the Check Box if the Appraised Item is considered an option.
- Click the Print button to print the Appraisal form.
- Click the Update button to save the information entered.
Adding Trade-In Amount Information
Trade-In Amount information such as Allowance, Balance Due, etc. can be entered for each Trade-In Unit. When a contract is closed, these figures will be used by the system to make accounting entries, calculate the trade allowance, and value the trade-in. To add Trade-In Amount Information for the Trade-in Unit, click on the Amount Info Command button in the separate Boat, Motor, and Trailer areas.
- Allowance – Enter the Trade-In Allowance for this unit.
- Balance Due – Enter the Balance Due for this trade-in unit.
- As of Due Date – Enter the Due Date for the Balance entered.
- Per Diem Late Fee – Enter the Daily Late Fee assessed for the amount due.
- Balance Paid by – Specify who will be paying the balance due on the trade.
- Actual Cash Value – Enter the Actual Cash Value of the Trade.
- List Price – Enter the List Price for the Trade-in unit.
- Click the Update button to save the information entered.
Entering Lien Holder Info
If the Trade-In has a lien against it, enter information for the Lien Holder here.
- Lien Holder – The name of the entity that holds the lien.
- Account # – The account number information for the Lien Holder.
- Contact – The point of contact for the Lien.
- Address, City, State/Province, Postal – The address of the Lien Holder.
- Phone – The phone number for the contact listed on the lien.
