-- Next Action Grid --
The Next Action Grid is used by the salesperson to indicate what should happen next in the sales cycles and when it should happen. Tasks can be scheduled for multiple sales persons as well as a sales person other than the one that owns the lead (attached to the prospect).
When an action is marked as Complete, two things will happen. First, this information will be removed from the Next Action grid and will now display in the Follow Up Information grid. Second if a suggested Next Action is stored with that Action Code then this suggested Action will now populate the grid automatically and then be editable by the sales person. For example a Next Action of "visit showroom" once completed might have another Action associated next with "mail welcome letter", etc. (setup in Action Code Maintenance). This "mail welcome letter" Action will now display in the Next Action Grid.
- Salesperson – Enter the salesperson id to assign this Action to. This does not have to be the same sales person that is currently assigned to the Prospect. For example, if the owner of the lead was going on vacation, another sales person could be assigned to perform an action for his or her lead.
- Action Date – Enter the date this Action should be initiated. The default date is the current System date. However, if this grid entry was generated from a suggested next action, the default will be the date the previous action was marked as complete.
- Action Time - Enter the time this Action should be initiated.
- Action Code – Enter the Action code to indicate what it is that should happen next in the sales cycles.
- Action Duration – Enter the number of minutes this action is estimated to last. This is a memo field only.
- Next Action Comment – Enter an expanded description of what the sales person would like to accomplish on the next contact with this lead.
- Reminder – Enter the date the Sales Person would like to be reminded of the upcoming appointment.
- Reminder Time – Enter the time the user would like to be reminded of the upcoming appointment.
- Complete – Click on this checkbox to mark the Action Complete. This Action information will then move to the follow up grid for historical purposes. If a suggested Next Action Code is stored with this Action Code then this suggested action will populate the grid.
-- Follow up Information Grid --
The Follow Up Grid is a history of what has already occurred. When a Next Action is marked as Complete, the information will be removed from the Next Action grid and will display in the Follow Up Information grid.
If a Follow Up entry was generated from a Letter or an Email, the display in the Follow Up will show up underlined in blue. Double clicking while focus is in the Action Description column will display the source document or email.
- Follow Up Comments – This allows for additional dialogue to be entered documenting the contact made with the lead. The Follow Up Comments box will automatically expand to a larger text box when text is entered past the cell boundaries. Press Tab to exit the comments box. Once text is entered, click on the drop down button to view the entire comment text box.

Click on the History Report button to print a history of Follow Up information for the Prospect.
