Boat Model Maintenance
Purpose To create boat model templates for boats in inventory. The template defines the physical attributes, pricing, cost, options, accessories, and picture(s) for each model in inventory.
From the menu select Sales Management, Maintenance Functions, Boat Model Maintenance
- Model Information Tab
Type - In the pull down list, select the desired type of item for which a model is being created. The default is Boat. Choices are Boat, Motor, Trailer, and Other. When you choose a type, the appropriate maintenance form appears. Information below is for type Boat. See sections Motor Model Maintenance for motors, Trailer Model Maintenance for Trailers, and Other Model Maintenance for Other models.
Model ID - To begin a new Model, you can enter the letter "N" or Click the "New" Button on the Command Panel. If the Model already exists in the system, you can access that Model by entering in the Id number. If you do not know the Model Number, enter all or part of the model’s number or description preceded by a backslash "" to access a cross-reference list of Models.

- Vendor ID – Enter the vendor number for this model; you can also type the vendor’s name preceded by a back slash "" to access a cross-reference list.
- Model Number – Enter the model number for this model; you can also type part of the model number preceded by a back slash "" to access a cross-reference list of model numbers.
- Description – Enter a description for this model. The model description can be up to 50 characters long.
- Model Year – Enter the year for this model.
- Model Type – Enter the model Type for this model. The description for the type automatically fills in to the right of the type.
- Class – Enter the Class code for this model. Classifying models aids in creating sales and inventory reports.
- Model Length – Enter the model length in feet and inches. For example, enter 21’6 for twenty one feet and six inches or twenty one and a half feet. Note that if you enter 21.5 the system will convert this to 21’5 which is twenty one feet and five inches, not twenty one and a half feet.
- Beam – Enter the beam length in feet and inches. For example, enter 6’6 for six feet and six inches or six and a half feet. Note that if you enter 6.5 the system will convert this to 6’5 which is six feet and five inches, not six and a half feet.
- Draft – Enter the draft length in feet and inches. For example, enter 6’6 for six feet and six inches or six and a half feet. Note that if you enter 6.5 the system will convert this to 6’5 which is six feet and five inches, not six and a half feet.
- Weight – Enter the weight in pounds (lb) as a whole number (no decimal).
- Dead Rise – Enter the dead rise in degrees as a whole number (no decimal).
- Motor Rating – Enter the motor rating in horse power (hp) as a whole number (no decimal).
- Hull Type – Enter the hull type. The hull type can be up to 25 characters long.
- Length Overall – Enter the overall length in feet and inches. For example, enter 21’6 for twenty one feet and six inches or twenty one and a half feet. Note that if you enter 21.5 the system will convert this to 21’5 which is twenty one feet and five inches, not twenty one and a half feet.
- Fuel Capacity – Enter the fuel capacity in gallons (gal) as a whole number (no decimal).
- Water Capacity – Enter the water capacity in gallons (gal) as a whole number (no decimal).
- Waste Capacity – Enter the waste capacity in pounds (lbs) as a whole number (no decimal).
- Sleeping Capacity – Enter the sleeping capacity (number of persons).
- Cabin Headroom – Enter the cabin headroom in feet and inches. For example, enter 6’6 for six feet and six inches or six and a half feet. Note that if you enter 6.5 the system will convert this to 6’5 which is six feet and five inches, not six and a half feet.
- Bridge Clearance – Enter the bridge clearance in feet and inches. For example, enter 21’6 for twenty one feet and six inches or twenty one and a half feet. Note that if you enter 21.5 the system will convert this to 21’5 which is twenty one feet and five inches, not twenty one and a half feet.
- Hull Material – Enter the hull material. The hull material can be up to 25 characters long.
- Department – Enter the Department for this model; you can also press F6 or clicking List F6 in the Command Panel to see a list of Departments. If General Ledger accounts are defined for the Department, those accounts will be where Sales, Cost of Sales, and Inventory are posted. See section Boat Model/Inventory G/L Accounts Hierarchy for a summary of how the system determines the General Ledger accounts. Use a different Department for items whose income and cost should be posted to different General Ledger accounts. Departments are also used to categorize models when printing inventory and revenue reports. You can add a new department or edit an existing department by pressing F7 or clicking Department Maint F7 from the Command Panel.
- Warranty Code – Enter the warranty code for this model.

The main picture added for this model using the Pictures tab of Boat Model Maintenance will appear in this window. The application will attempt to center the image for the best fit.
-- Work Order Templates –-
This grid has three types of work order templates that you can select for this model - Contract WO Template, Serial WO Template, and Receiving WO Template. For each type you can select a WO template from a list:

-- Links –-
When you are in the Boat Model Maintenance form, there will be links active in links bar:
- Update Serial opens the Update Inventory Price/Cost screen. See the section Update Inventory Price/Cost for a complete description of this form. To access this form, from the menu select, Sales Management, Maintenance Functions, Update Inventory Price/Cost.
- Duplicate Model opens the Duplicate Model box. Enter new model year and click the Ok button. You will then see a message box indicating that a new model number has been created.
- Pricing Tab

- Default Price – Select the default price from the drop down box. The user has a choice of List and Price 1 through Price 5. When this model is selected in Serialized Boat Inquiry or Sales Contract Maintenance, the price that you select as the default here will automatically display in the Price field. You can override the price in Sales Contract Maintenance.
- Price Formula – Enter the price formula for this model or press enter to skip this field. If price formulas are not used, the price and cost information for the model will have to be maintained manually. Price formulas are maintained in Price Formula Maintenance on the Codes Maintenance menu.
- List Price – Enter the List Price for this model. If using a Price Formula whose Line Prices are based on List, there must be a List Price in order for the prices to calculate when the Calculate button is clicked.
- Line 1 Price through Line 5 Price – Enter a line price if applicable. If using a Price Formula, leave all Line Prices blank or at 0.00 and click the Calculate button to calculate the Line Prices.
- Freight Price – Enter a freight price if applicable. If using a Price Formula that includes a price formula for freight, leave Freight Price blank and click the Calculate button to calculate the Freight Price.
- Rigging Price – Enter a rigging price if applicable. If using a Price Formula that includes a price formula for rigging, leave Rigging Price blank and click the Calculate button to calculate the Rigging Price. This price will be used as an estimated figure on sales contracts.
- Prep Price – Enter a prep price if applicable. If using a Price Formula that includes a price formula for prep, leave Prep Price blank and click the Calculate button to calculate the Prep Price. This price will be used as an estimated figure on sales contracts.
-- Calculate Prices –-
If using a Price Formula, Click the Calculate button to calculate prices based on the chosen Price Formula. A Price Formula must be entered prior to calculating prices.
-- Miscellaneous Charges Grid –-
If Miscellaneous Charge descriptions have been defined in the Operational Options tab of Boat Sales Parameters, the Description field for each miscellaneous charge defined will automatically fill in and the Price field will default to 0.00. You can change the Description and Price for these miscellaneous charges but you cannot delete them from the Miscellaneous Charges grid. Additional miscellaneous charges can be added to the last row of the grid by placing the cursor in the Description field of the last row and entering the desired Description and Price.
To delete a miscellaneous charge created in the Miscellaneous Charges grid, place cursor in the Description field of the miscellaneous charge and press the F7 key or click Delete Row F7 link in Command Panel. You cannot delete miscellaneous charges that automatically filled in from Boat Sales Parameters.
If you edit or delete a miscellaneous charge in the Miscellaneous Charges grid in this tab, the Cost tab automatically updates with the changes.

Enter information in the grid sections for each the two tabs for customer and management rebates. Note that each column in the grid can be widened or shortened.

- Start Date – Enter the starting date for the rebate.
- End Date – Enter the ending date for the rebate.
- Description – Enter a description for this rebate. The rebate description can be up to 50 characters long. The width of the Description column can be widened to show more than the first 15 characters which is the default display width.
- Amount – Enter the dollar amount for the rebate.
- Include Serial – Check this box if you want this rebate information to automatically be included when a boat with this model is created in serialized inventory. When this box is checked and the Update Serial function performed, all boats in serialized inventory with this model will be updated with this rebate information unless the Override Model Rebate box is checked in Boat Inventory Maintenance. Note: Checking this box will also select the corresponding Include Serial check box in the Cost tab.

- Unit Cost – Enter the cost for this model. If using a Price Formula whose Effective Cost Formula and Line Prices are based on Cost, there must be a Unit Cost in order for the prices to calculate in the Prices tab when the Calculate button is clicked.
- Freight Cost – Enter freight the cost for this model.
- Prep Cost – Enter the prep cost for this model.
- Rigging Cost – Enter the rigging cost for this model.
- Misc Cost – Enter the miscellaneous cost for this model.
- Option Cost – Enter the option cost for this model.
- Rebate Cost – Enter the rebate cost for this model.
- Total Cost – Enter the total cost for this model.
- Discounts – Enter the discounts cost for this model.
- Working Cost – Enter the working cost for this model.
-- Miscellaneous Charges Grid –-
If Miscellaneous Charge descriptions have been defined in the Operational Options tab of Boat Sales Parameters, the Description field for each miscellaneous charge defined will automatically fill in and the Price field will default to 0.00. - Include Serial – Check this box if you want this discount information to automatically be included when a boat with this model is created in serialized inventory. When this box is checked and the Update Serial function performed, all boats in serialized inventory with this model will be updated with this discount information unless the Override Model Discount box is checked in Boat Inventory Maintenance. Note: Checking this box will also select the corresponding Include Serial check box in the Pricing tab.
Rebates section
- Start Date – Enter the starting date for the rebate.
- End Date – Enter the ending date for the rebate.
- Description – Enter a description for this rebate. The rebate description can be up to 50 characters long. The width of the Description column can be widened to show more than the first 15 characters which is the default display width.

Note: Checking this box will also select the corresponding Include Serial check box in the Pricing tab.
- Options Tab

Standard and/or Billable options for a model can be entered in this grid. Adding options to the model makes it easier for your sales people to access an options list when doing queries.
- Code – Enter the code for this option. The code can be up to 10 characters long. Letters, numbers, and symbols are allowed.
- Description – Enter the description for this option. The description can be up to 40 characters long. Letters, numbers, and symbols are allowed.
- Group Code – Enter the group code for this model. Group codes are useful for reporting purposes. Examples of group codes are 10, 20 CO100. The group code can be up to 10 characters. Letters, numbers, and symbols are allowed
- Price – Enter the price for this option. If it is a standard (no charge) option, press F8 or click the Standard Price F8 in the command panel. This will fill the Price field with STD.
- Model Type – This field will be automatically filled in if a model association is made for this option. See the Option Model Association section below for information on creating model association for an option.
- Model ID – This field will be automatically filled in when a model association is made for this option. See the Option Model Association section below for information on creating model associations for an option.
- Model Count – This field will be automatically filled in when a model association is made for this option. See the Option Model Association section below for information on creating model association for an option.
- Model Vendor ID – This field will be automatically filled in when a model association is made for this option. See the Option Model Association section below for information on creating model associations for an option.
- Vendor Name – This field will be automatically filled in when a model association is made for this option. See the Option Model Association section below for information on creating model associations for an option.
- Model Number – This field will be automatically filled in when a model association is made for this option. See the Option Model Association section below for information on creating model associations for an option.
- Year – This field will be automatically filled in when a model association is made for this option. See the Option Model Association section below for information on creating model associations for an option.
- HP – This field will be automatically filled in when a model association is made for this option is a motor. See the Option Model Association section below for information on creating model associations for an option.
-- Option Model Association –-
To facilitate the ordering process for a Packaged boat, DockMaster allows you to associate a motor, trailer, or other option with a specific boat model. This feature will automatically create serialized entries for all options which have a model association when a purchase order is received for the boat.
To create a model association, select the option in the Options grid by clicking in one of the fields in the row for that model. Then fill in the fields in the Option Model Association section as follows:
- Type – Select the type from the drop down box. The choices are Boat, Motor, Trailer, and Other.
- Model ID – Enter the model ID
- Count – Enter the number of units that will be needed when this model is ordered. For instance, if the type of model association is Motor and twin outboard motors are needed, enter the number 2 here.
- Vendor – This field will be automatically filled in when the Model ID is selected.
- Model Number – This field will be automatically filled in when the Model ID is selected.
- Year – This field will be automatically filled in when the Model Id is selected.
- HP – This field will be automatically filled in when the Model ID is selected and the type of model selected is Motor. It is left blank otherwise.
- Update Association – Click this button to update the option with the model association information. This will automatically fill in the following fields in the Options grid: Model Type, Model ID, Model Count, Model Vendor ID, Vendor Name, Model Number, Year, and HP.
- Delete Association – Click this button to remove the model association information for this option. This will automatically clear the information the following fields in the Options grid: Model Type, Model ID, Model Count, Model Vendor ID, Vendor Name, Model Number, Year, and HP.
-- Display Costs –-
Click this button to show cost information for each option. A column labeled Cost is added to the left of the Price column for each option in the Options grid.
-- Calculate Costs –-
Click this button to calculate costs for each option based on a profit percentage margin. After clicking this button the Enter Profit Margin Percentage box pops up. Enter the desired percentage as a whole number and click Ok button. This will update the Cost column when the Display Costs button has been clicked to show costs.
-- Calculate Prices –-
Click this button to calculate prices based on a profit percentage margin. After clicking this button the Enter Profit Margin Percentage box pops up. Enter the desired percentage as a whole number and click Ok button. This will update the Price column. Costs must be calculated or manually entered before calculating prices.
- Accessories Tab

Accessories are added to the model by filling in the Accessories grid.
- Code – Enter the code for this accessory. Accessory codes are defined and maintained in Accessory Maintenance. To access this screen, from the menu select, Sales Management, Maintenance, Accessory File.
- Description – When an accessory code is selected in the Code field, this field automatically fills in with the description for that accessory.
- Price – When an accessory code is selected in the Code field, this field automatically fills in with the price for that accessory.
- Opcode – If the selected accessory has an opcode, this field automatically fills in with the opcode for that accessory.
-- Display Costs –-
Click this button to show cost information for each accessory. A column labeled Cost is added to the left of the Price column for each accessory in the Accessories grid.
- Comments Tab
-- Comments –-
- Comment – This is a free form text field for entering a miscellaneous comment regarding this model. Boat Model Comments can be displayed in Boat Model Inquiry.
- Contract Message – This is a free form text field for entering a message regarding this model that will appear in a pop-up message box at the moment this model is added to a Sales Contract.
- Custom Info Tab
-- Custom Information –-
You can enter additional information about this mode in the Custom Information grid. The Miscellaneous Field Description labels are created Custom Prompt Maintenance. To access Custom Prompt Maintenance, on the menu bar, click DockMaster…highlight System Administration…highlight Utilities…highlight and click Custom Prompts then choose Boat Model Maintenance form in the pull down box. See the help section Custom Prompts for more information on creating labels for the Miscellaneous Field Description in this grid.
- Miscellaneous Field Description – The label for this field is defined in Custom Prompts as explained above.
- Data Value – Based on the data format defined for the Miscellaneous Field Description in Custom Prompts, enter the value for this field.
- Pictures Tab
-- Pictures –-
Bit Map, JPEG, and GIF file types can be attached to a model in the Pictures grid. Multiple pictures can be added in the grid. The picture selected as the Main Picture will appear in the Picture section of the Model Information tab.
- Location – Click the down arrow to browse to the location of the picture file. Once you reach the location of the picture file Highlight it and click the Open button. This will fill in the Location field with the path of the file. It is recommended that you create a shared folder on a common network drive to store all boat sales item pictures and select this network path. In doing so, all DockMaster users will be able to see the pictures when looking at model records. Click in the Description field to see the picture.
- Description – Enter a description for this picture.
- Main Picture – Check this check box to make this picture the main picture. The main picture appears in the Picture section of the Model Information tab. Only one picture can be selected as the main picture. The picture selected to be the main picture can be changed at any time.
- Fit List Tab
This tab is active for trailer models only.
