Work Order Maintenance Overview
WORK ORDER MAINTENANCE Service Management>Maintenance Functions>Work Orders
This topic will only discuss the work order header and its tabs. the detail charges topics are linked below and can also be accessed from the help menu for their specific topics.

Work Order ID - Press Enter to start a new id, type in an id, or right click the id field select a current id to edit. You can also use the \ search key to look up a work order by customer or boat.

To create a work order from either another Work Order, Estimate or Template right click in the id field and select Create WO from F9. In the From field, you can select Work Order, Estimate or Template. Enter the work order, estimate, or template number to create from. If you do not know the work order, estimate, or template number press the F6 Key or click on the F6 List that appears at the bottom of the window. You can also do a cross-reference search by using the backslash ‘\’ followed by the customer’s last name, boat name etc.

Select the Type of work order.

Retail = This type will bill all retail charges to a retail customer.

Internal = This type will bill all internal charges to the specified GL expense defined on the operation code(s).

Warranty = This type will bill all warranty charges to the specified warranty customer defined on the operation code(s).

Prep / Rigging = These types are utilized to bill service work to the serialized inventory unit. Note the Sales Management module is required to use these types.

Assembly = This type will bill all charges and update parts inventory with the quantity and cost for the part number defined in the header.

Customer - Select the customer to use for the work order.

Bill to Customer - Leave the default customer from above or select the customer to bill the charges. The bill to customer can be different for each operation code, however a default is required.

Warranty Customer - If the work order will contain warranty operations a default warranty customer is required. The warranty customer can be different for each operation code.

Category - If desired add a category code, these are useful when selecting work orders to print bill report by etc.

Clerk ID - The clerk id will default to the clerk that is logged in. It can be changed as desired.

Tax Schema - The location code or customer's tax schema will automatically populate here. In most instances there is no need to change the tax schema.

A/R Account - The default GL account will populate automatically in most instances there should be no reason to change it.

Creation Date - The date will automatically populate with the current date however it can be backdated as desired to show the actual date the work came in.

Req Comp Date - This is the date that the customer has requested that the work be completed by.

Est Start Date - This is the date that the earliest work is estimated to start on. Note this field will update if an operation code is maintained with an earlier start date.

Est Comp Date - This is the date that the latest work is estimated to stop on. Note this field will update if an operation code is maintained with a later stop date.
Maintenance Tab
Customer Boat Information

When a customer is added to the work order that has a single boat it will automatically load. If the customer has more than one boat a list of boats will appear for selection.

If there are no boats for the customer, the boat information can be entered here for one off work orders. However, its recommended that the boat be defined in the Customer Boat file for tracking purposes.

For Prep and Rig type work orders the unit id can be used to select the boat or the \ search tool can be used to locate the boat by serial or stock number.
Operations Grid
To add an option to the grid, click the add operation icon beside the pipe in the icon bar or perform one of the options below.

Double click an operation to edit it or right click and select Edit if you want to maintain detail charges.

To delete an operation that has no detail right click and select delete.

To Insert an opcode right click a row and select insert.

To reprice a specific opcode or all right click on any row in the grid and select reprice opcodes.
Miscellaneous Info Tab

The comments text box can be used for general comments about the work order. The do print on some work order service requests and invoices and may be customer visible.

The miscellaneous information grid contains custom defined fields for the work order and can be printed on custom layouts.
Charges Summary Tab

Chart - this tab is for information only the Chart and Charges list provide a visual view of the work order charges.

Detail Search - this tab allows the clerk to search for specific charges to view the operation code can be double clicked to view the details or maintain charges.
Profit Tab
- The profit tab is for information only and it provides both a summary by charge type and visual view of all the charges on the work order.
Billing Tab

The billing tab allows for billing partial completion, or as of a date, or an amount or the complete work order. Operations that are completed or the entire work order can be closed. Overall discounts, environmental, and other charges can be adjusted removed or distributed across op codes. Vendor amounts for splits with customers can be maintained.

When ready to complete billing the work order can be invoiced directly to AR by saving or printing it from the billing tab.
