Balancing AP schedule to Aging (Detail)

In Accounts Payable -  Reports – you will use the following two reports:

            Detail Balancing

            JT Balancing

First run the A/P Detail Balancing Report - It will run in Summary by Day…

Put in a date range you want to balance (or start with) and your Schedule (GL) account

Save this to an Excel Spreadsheet or print it out.  You will need this to compare to the next report.

Then run the JT Balancing Report-It will run in Summary by Day…

Put in a date range you want to balance (or start with) and your Schedule (GL) account.

The data on this report needs to be compared to the data on the first report.   The JT balancing report will show the amounts with a negative sign and the Detail Balancing report will show the amounts as positive.

Once you find the day or days that do not match you will run each report again but just for that one day.  You need to go into the “ADVANCED OPTIONS” and “UNCHECK” the Detail Suppress box so that it will print all of the transactions for that day.

Go to Advanced Options and uncheck the Detail Suppress box and the Underline Totals box and run in detail.

This will help you locate the problem invoice(s).

There can be many different reasons that an out of balance has occurred.  Below is one example of how to search deeper if you find an item that is on one report and not the other.  If you identify the record that appears to be causing the out of balance and you cannot determine why it is an issue – please log a support ticket with all the detail of what you found – including screen shots when helpful.

DM # 2060025C0R is the problem.

Finding the problem can take many shapes…what I did was go back to the JT report and change some of the criteria and pulled Description = Part of the invoice/DB #

Found that the DB in question did not get posted (someone changed the acct date) to 02/01/07.

This process will need to continue as you balance until all issues are resolved.
