Detail Accounts
Detail Accounts
From the menu select, General Ledger > Maintenance Functions > Detail Accounts.
Detail account numbers are used when forming an account for the G/L Chart of Accounts. Changing the detail account description in the Detail Account Table effectively changes the description for all accounts with the given detail account number on the chart.
-
Enter the Detail Account portion of the G/L Account Number or press F6 to display the detail ID's currently on file. The detail ID is user defined and is a numeric field. The Account Structure established in the General Ledger Parameters determines the length of the detail ID. The detail number is automatically zero-filled and right justified to the defined maximum length. Therefore, if you defined your detail portion as four digits and entered a 1, the detail number would be 0001.
Note: A detail account (3999 Net Income) may have already been defined by your representative while creating the company table. If this account coincides with your Summary Closing account, go to line 1 and line 2 and add a short and long description as described below. If it doesn’t exist, create your account and change it in the Company Table after creating the full account through Chart of Accounts.
-
Enter a Short Description for this detail account. This field is used on reports where the complete description is not required.
-
Enter a Long Description for this detail account. If the short description is sufficient, press
Enter
to duplicate it as the long description. This will only work for a new entry.
Delete a Detail Account
In order to delete a detail account, you must first delete all account numbers using this detail account from the Chart of Accounts.
- Locate and delete the complete GL account from Cart of Account Maintenance in all cost centers that it exists in.
- Once all of the associated chart of accounts numbers are deleted, the detail account can be deleted. Note: You can only delete an account from the Chart of Accounts if no posting has occurred.
