Month-End Procedures
Accounts Receivable
Make sure you have posted everything to the General ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.
- Run an A/R Aging Report and balance to the A/R Schedule Report (A/R Schedule Report shows the G/L Balance for Accounts Receivable schedule account(s). If there is more than one schedule account on the A/R Schedule Report, verify that all accounts are A/R schedule accounts; if not call DockMaster Support.
- Run your Universal Sales Tax Report to get your figures for your Sales Tax Filing Reports.
Accounts Payable
Make sure you have posted everything to the General ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.
- Run an A/P Aging Report and balance to your A/P Trade Account for the month end. Run a General Ledger Inquiry for the month end date to find the balance of your A/P account.
Service
Make sure you have posted everything to the General ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.
- Run your Work Order Parts WIP Report to balance your WIP Inventory account. Run a General ledger Inquiry for the month end date to find the balance of your WIP Inventory account. If you partial bill all open Work Orders at month end, there is no need to make an accrued revenue entry for Service. If you don’t, run a Work Order Unbilled Report to find your accrual totals for Service.
Point of Sale
You should be closing your registers DAILY so there shouldn’t be any month end procedures. If you are not closing daily, MAKE SURE YOU CLOSE OUT ALL REGISTERS ON THE LAST DAY OF EACH MONTH.
- Run the Check Out for each register. See Check Out on your Daily Procedures Menu.
- Post your Point of Sale batches to the main Journal. See Post to Journal on your Daily Procedures Menu.
- Make sure you have posted everything to the General Ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.
Storage and Billing
- Run the Security Deposit Report and verify against General Ledger.
- Run Open Proposals Report and delete as necessary.
- Process Deferred Revenue and run Deferred Revenue Report, verify against General Ledger.
Inventory
Make sure you have posted everything to the General ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.

Run a Perpetual Inventory Extension Report to get the value of the inventory on the system. Warning: Depending on the number of parts on your system, this report can be very large.

Run a G/L Inquiry for the month end date to find the balance of your Inventory account and compare the two.
Boat Sales
Make sure you have posted everything to the General ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.
- Run a Boat, Motor, and Trailer Inventory Report to get the value of the inventory on the system.
- Run a G/L Inquiry for the month end date to find the balance of your Boat, Motor, and Trailer Inventory account(s) and compare the two.
- Run a Floorplan Inventory Report to balance your floorplan inventory to your General Ledger.
- Run a G/L Inquiry for the month end date to find the balance of your Floorplan Payable account(s) and compare the two.
General Ledger
Make sure you have posted everything to the General ledger for the month. Always choose the first of the year when posting to ensure that you get any backdated transactions. Run a Journal Listing for all prior periods if you want to check for back dated transactions.
- Run a Summary Trial Balance Report to verify your ledger totals.
- Close the month using the Open/Close Accounting Periods. **Note: Closing Accounting Periods should be done when users are NOT logged into the system**
Remember: You do not have to close accounting periods. The system is transaction date driven.
You can re-open any closed period starting from the menu by selecting General Ledger, Administrative, Open Close periods.
