Technician File [FM]
Technician File
From the DockMaster menu, select File Maintenance > Technician File
Prerequisites: Department File, Skill Type Code File, Customer File and Chart of Accounts
The Technician File provides the following information to the Service module about each technician:
- Department (for G/L labor income account number)
- Labor Income Accounts (if different from the department)
- Hourly Pay Rate
- Default Billing Rate for each Work Order Type
- Default Rate for Warranty Vendors
- Skill Type Codes
General [tab]
- Technician ID – Enter any combination of up to 3 numbers for the ID. Press the F6 Key or List F6 from the Command Panel for a list of existing technicians.
--Miscellaneous--
- Name – Enter the technician’s name exactly as you want it to appear on reports and Work Order Invoices. A maximum of 25 characters may be used.
- Employee Id – The Employee Id is used to interface with the Payroll module. This is an optional field.
- Password – The password works with Time Clock entry. If you want your technicians to enter a password before clocking in and out of jobs, enter a password. This is an optional field.
- Inactive Date – The inactive date works with the Payroll module. If a technician is terminated, the date should be entered into their employee file in Payroll. The date entered on the employee file will default into the inactive date field.
--Departments--
- Labor – Enter a Labor Department so that the necessary accounting entries are made when this technician is used to add labor to a Work Order.
- Parts - Enter a Parts Department so that the necessary accounting entries are made when this technician is used to add parts to a Work Order.
--Rates--
- Burden – Enter a Burden rate if you are going to be accruing the technician’s labor. This rate can include the cost of uniforms, health insurance, etc.
- Earning – Enter an earning rate that the technician receives per labor hour. This rate will be used to calculate cost comparisons on Work Order Cost reports and make WIP entries. If this field is left blank, no cost figures will be calculated.
- If a rate is entered under the Burden Rate field, than that is the rate used to generate costs and WIP entries.
- If the Burden Rate field is left blank, then the Earnings rate is used.
- Selling – Enter the default hourly Retail Billing Rate at which customers will be charged for this technician’s labor on a Retail Work Order. This rate can be overridden when adding labor time to a work order if necessary.
- Prep - Enter the default hourly Prep Billing Rate at which customers will be charged for this technician’s labor on a Prep Work Order. This rate can be overridden when adding labor time to a work order if necessary.
- Rigging - Enter the default hourly Rigging Billing Rate at which customers will be charged for this technician’s labor on a Rigging Work Order. This rate can be overridden when adding labor time to a work order if necessary.
- Internal - Enter the default hourly Internal Billing Rate at which customers will be charged for this technician’s labor on a Internal Work Order. This rate can be overridden when adding labor time to a work order if necessary
- Assembly - Enter the default hourly Assembly Billing Rate at which customers will be charged for this technician’s labor on a Assembly Work Order. This rate can be overridden when adding labor time to a work order if necessary
--Warranty Vendors--
The Warranty Vendor’s hourly rates can be entered in the grid. However, if the Warranty Vendor’s hourly rate is maintained in the Vendor File\Warranty Information Tab, it is not necessary to enter it on the technician file.
All Warranty Vendors entered into the grid must be entered as customers in the Customer Master File first.
- Customer – Enter the Warranty Customer name. Press the F6 Key or List F6 from the Command Panel for a list of Warranty Customers. You can also find a vendor by typing the vendor’s name preceded by a backslash "" to invoke a cross-reference list.
- Customer Name – The Customer name will default from the Customer Id entered.
- Warranty Rate – Enter the Warranty Vendor’s hourly rate.
- Delete Row F7 – To delete an entry, highlight the entry and press the F7 Key or Delete Row F7 from the Command Panel.
--Skill Types--
- Skill Type – Enter the Skill Type Code for this technician. These codes should already be maintained. Press the F6 Key or List F6 from the Command Panel for a list of Skill Type Codes.
- Skill Type Description – The description will default from the Skill Type code.
- Skill Level – Enter the Skill Level for this skill type. The Skill Level refers to the amount of proficiency this technician has relative to the other technicians with this skill. A value between 1 and 10 is required to complete the skill type.
--Certifications--
- Certification Description – Enter a description of the technician’s certification. A maximum of 30 characters can be entered. This information can used when running reports in Service.
- Certification Date - Enter the date the technician received his certification.
- Expiration Date – Enter the date the certification expires.
